After-hours COI: the broker is awake, your agent is not
Certificate requests do not arrive between 9 and 5. They arrive when a load is being tendered — Friday night, Sunday morning, the middle of a holiday week. Your after-hours playbook
1Before the weekend: save the policy
Enter your legal name, address, USDOT and MC numbers, each insurer and NAIC number, and all coverage limits and dates once. Do this while your documents are in front of you, not at midnight.
2When the request lands: copy the holder box exactly
Certificate holder name, office address, attention line, load or reference number. Use the broker's office on the rate confirmation, never their headquarters.
3Check dates before you sign
Policy dates must still be in force on the delivery date, and the cargo limit must cover the commodity value on the load. The generator shows both before you sign.
4Send it and keep the receipt
Sign on the screen, email the PDF, and the send is logged with a timestamp and seven-day download link. Failed or bounced email is recorded as a failure so you can resend to a corrected address.
Brokers can start it themselves
A night-shift broker can file the request directly in the broker portal using your USDOT or MC number. It lands in your Broker requests inbox already prefilled, so answering it in the morning is a signature and a tap — and they can watch the status on their own tracking link in the meantime.
Honest limits
- A certificate only reports coverage your policy already carries. New endorsements still need your agent during business hours.
- If the broker requires the certificate to come from the agency of record, no generator changes that — ask them up front.
- Your saved policy has to be accurate. Stale limits produce a stale certificate.
